About the role

We are seeking a motivated Reservations Intern to join Four Seasons Hotel Firenze. The intern will assist guests before arrival and support the Reservations team by handling phone calls, chats and other core daily tasks related to the PBX and reservation tools.

Key responsibilities

• Answer hotel general phone calls, route calls to the correct internal extensions, take and pass messages, and manage wake-up calls.
• Ensure correct operation of the telephone switchboard (PBX), hotel computer systems, high-speed Internet and facsimile equipment; update the internal telephone directory.
• Handle guest enquiries efficiently and courteously via phone, email or chat, using guest names when possible and directing queries to the appropriate teams.
• Assist with updating guests’ reservations and support the team in reservation-related correspondence.
• Support with general reservations emails, retrieve and distribute mail, and process brochure requests.
• Run relevant reports to check for special requests and follow up as needed.
• Provide assistance with other division tasks when required and develop and present a project to reinforce training.

Requirements and profile

We are looking for candidates with a passion for service and delivering genuine guest experiences, strong attention to detail, excellent interpersonal skills and a collaborative team approach. Applicants must have reading, writing and oral proficiency in Italian and English. Successful candidates must hold legal authorization to work in Italy at the time of application.
