Position summary
We are seeking a Venue Set-up Coordinator to join the Events Department. This operational role is central to organising meetings, banquets and events held at the venue, ensuring that spaces are prepared and guest expectations are met.
Key responsibilities
- Read and interpret event orders (BEOs) from Convention/Events and Housekeeping to understand guests’ needs.
- Plan the correct layout for meeting rooms, banquets, coffee breaks, buffets and service stations, including the sequence of activities and any special event requirements.
- Prepare and tidy assigned rooms, making sure equipment is positioned correctly and areas are clean.
- Assemble and dismantle event equipment and materials such as tables, chairs, buffets, platforms and operational supplies.
- Transport the supplies and materials needed for events and restock bars, buffets and service stations during events as required.
- Provide hands-on operational support during events and manage any last-minute requests.
- Dismantle setups at the end of events and return spaces to their original condition.
- Communicate professionally with guests and internal departments to ensure needs are satisfied and to welcome guests following company standards.
Physical and operational requirements
- Ability to stand and move around for extended periods and perform physical tasks during shifts.
- Hands-on approach: able to move, lift, carry, push, pull and position objects and handle loads safely.
Preferred requirements
- Education: A-levels or equivalent (G.E.D.).
- Experience: less than one year in similar roles in events, banqueting or hospitality is acceptable.
- Supervisory experience and licences/certifications are not required.
The effective execution of these duties, together with any other reasonable tasks requested, is essential to the success of events and guest satisfaction.
